Position Summary

As a Remote Pharmacy Customer Service Associate at arenaflex, you will be the first point of contact for our customers and patients, responsible for delivering a distinctive and positive client experience. Your role will encompass a blend of customer service, data entry, and pharmacy support duties, all conducted remotely with the same level of professionalism and care that defines the arenaflex brand.

You will register transactions on dedicated point-of-sale systems, assist customers with product and service inquiries, and support pharmacy operations under the direct supervision of licensed pharmacists. The position requires adherence to state and federal regulations governing pharmaceutical practices, and a strong commitment to accuracy in data entry, prescription processing, and customer interactions.

Key Responsibilities

Customer Experience and Engagement

  • Welcome customers and patients warmly, offering assistance with products, services, and inquiries in a professional manner.
  • Resolve customer issues promptly and answer questions thoroughly to ensure a positive, lasting impression of arenaflex.
  • Model and share best practices in customer service with team members, including communication habits such as greeting, eye contact, and courteous engagement.
  • Demonstrate arenaflex service values, including proactively offering help, identifying customer needs, and following through until complete satisfaction is achieved.

Register and Transaction Management

  • Register customer purchases on assigned point-of-sale systems with accuracy and efficiency.
  • Collect payment, process cash, and distribute change as needed.
  • Process voids, returns, refunds, exchanges, and delayed transactions in accordance with arenaflex procedures.
  • Direct customers to appropriate aisles or service areas, including the over-the-counter (OTC) section, to assist with locating products.

Pharmacy Operations Support

  • Assist pharmacists, under direct supervision, with pharmacy practice activities in compliance with state and federal guidelines.
  • Use pharmacy computer systems to obtain patient and medication information, and process prescriptions accurately.
  • Input patient and medication data into pharmacy systems, ensuring all information is entered correctly and completely.
  • Fill prescriptions by retrieving, counting, and pouring pharmaceutical drugs, while verifying medication accuracy and checking for potential drug interactions.
  • Support pharmacists in scheduling and maintaining workflow efficiency.
  • Report prescription errors immediately to the on-duty pharmacist and adhere strictly to arenaflex policies regarding medication errors and the Quality Improvement Program.
  • Review and follow arenaflex Pharmacy Governing guidelines consistently.
  • Strictly adhere to arenaflex policy regarding ethical dispensing during all prescription activities.
  • Handle phone calls that do not require direct pharmacist attention, including calls to physicians as necessary.

Administrative and Claims Processing

  • Process and resubmit manual claims for third-party program prescription services in a timely and efficient manner.
  • Perform other administrative duties as assigned by the Pharmacy Director.
  • Assist with the resubmission of corrected claims, ensuring all documentation meets arenaflex standards.

Inventory and Stock Management

  • Support the Pharmacy Department in inventory management activities, including ordering, unpacking, checking, and storing medication shipments.
  • Maintain knowledge of arenaflex asset security procedures and document claims for warehouse overages, shortages, order errors, or damaged goods, including prescription medications.
  • Ensure compliance with state and local laws regarding regulated products such as alcoholic beverages and tobacco.
  • Build and maintain product displays, including promotional, seasonal, super-structure, and sale merchandise.
  • Complete resets and revisions as directed by management.
  • Assist with the separation of food items, particularly raw foods from pre-cooked items, and follow proper product placement procedures.
  • For perishable goods, assist in stock rotation using the earliest-in, earliest-out (FIFO) method and restock depleted items promptly.

Photo Department and Digital Services

  • Provide customer service in the photo department, including digital passport photo services, poster printing, and creative machine operations.
  • Engage in suggestive selling of promotional photo products.
  • Handle online order responsibilities, including monitoring Picture Care Plus orders, fulfilling customer requests, and delivering orders to customers upon store arrival.

Store Presentation and Maintenance

  • Assist with internal and external maintenance by ensuring a clean, well-organized, and visually appealing store environment.
  • Comply with all company policies and procedures while maintaining respectful and professional relationships with colleagues.
  • Complete special projects and additional duties as assigned by leadership.

Training and Professional Development

  • Earn and maintain PTCB certification through the designated training program and any state-required certifications or registrations.
  • Attend all required training sessions and complete PPLs (Pharmacy Personnel Learning modules) as assigned by management or corporate.
  • Obtain continuing education credits to maintain and enhance knowledge in healthcare and pharmacy practice, including current news, developments, and best practices.

Essential Qualifications

  • Bachelor's degree from an accredited institution.
  • Fluency in reading, writing, and speaking English.
  • Willingness to work a flexible schedule, including evenings and weekend hours as needed.
  • Strong attention to detail and commitment to accuracy in data entry and prescription processing.
  • Reliable internet connection and a dedicated home workspace suitable for remote work.
  • Ability to handle confidential patient information with discretion and integrity.

Preferred Qualifications

  • At least six months of experience in a retail environment.
  • Prior work experience with pharmacy operations or within the arenaflex network.
  • Strong mathematical skills for accurately filling prescriptions, including counting, measuring, and weighing medications.
  • Solid computer skills, including proficiency with point-of-sale systems and pharmacy software.
  • Knowledge of store inventory control procedures and best practices.
  • Current PTCB certification.
