Role Overview – Customer Support & Data Entry Specialist

We are seeking a detail‑oriented, customer‑focused professional to join our Operations team in Ohio. In this role, you will support the end‑to‑end distribution and billing processes for arenaflex’s print products, handling both inbound and outbound communications with retail, discount, and convenience‑store customers. You will work closely with the Distribution/Logistics Manager and collaborate with Sales and Production teams to ensure accurate order fulfillment, timely invoicing, and exceptional customer service.

Key Responsibilities

  • Account Management: Create new customer accounts, maintain existing records, and ensure data integrity across multiple print locations.
  • Document Flow Oversight: Track the movement of print documents, coordinate returns, and manage the document retrieval process.
  • Customer Interaction: Respond to inbound calls and emails, provide product information, resolve billing inquiries, and assist with order changes.
  • Billing Support: Participate in all stages of the customer invoicing cycle, from data entry to final reconciliation, meeting strict deadlines with high accuracy.
  • Collaboration with Sales & Production: Work with Sales and Production coordinators to support print‑run dispatches, routing plan adjustments, and special requests.
  • System Proficiency: Develop a working knowledge of the arenaflex Single‑Copy System (SCS) and other internal order‑management tools.
  • Process Improvement: Identify opportunities to streamline workflows, reduce errors, and enhance the overall customer experience.

Essential Qualifications

  • Bachelor’s degree or equivalent experience in Business, Communications, or a related field.
  • Minimum of 2 years of office administration and customer‑service experience, preferably in a distribution or publishing environment.
  • Excellent written and verbal communication skills with a strong focus on accuracy and professionalism.
  • Proficiency in Microsoft Word and Excel; ability to manage complex spreadsheets and maintain detailed records.
  • Demonstrated ability to multitask, prioritize competing demands, and meet tight deadlines.
  • Flexibility to work standard business hours (9:00 am – 5:00 pm) and adapt to occasional schedule changes.

Preferred Qualifications

  • Experience with enterprise resource planning (ERP) or order‑management systems.
  • Familiarity with the publishing or media distribution industry.
  • Knowledge of invoicing, accounts receivable, and basic accounting principles.
  • Strong analytical mindset with the ability to interpret data and generate actionable insights.
