As a Remote Office Assistant at arenaflex, you will be the connective tissue that keeps our affordable‑housing teams running smoothly. Your expertise in data entry, customer service, and administrative coordination will directly support the leasing, property management, and compliance functions that enable arenaflex to deliver high‑quality housing solutions. This is a full‑time, temporary opportunity that offers a competitive hourly rate ranging from $21.85 to $25.30, with the flexibility to work from anywhere while maintaining a standard Monday‑through‑Friday, 9 am‑5 pm schedule.

Key Responsibilities

  • Serve as the primary liaison between internal departments, external applicants, and service providers to coordinate leasing and property‑management activities.
  • Draft, proofread, and distribute letters of correspondence, memorandums, reports, and forms using arenaflex’s suite of productivity tools.
  • Prepare and send meeting notices, create agendas, capture accurate minutes, and disseminate meeting materials in a timely manner.
  • Maintain and update the lease‑up calendar for new property developments, ensuring all stakeholders are informed of upcoming milestones.
  • Coordinate applicant communications, schedule lease‑up appointments, and track progress through arenaflex’s property‑management platform.
  • Manage confidential information with the utmost discretion, adhering to federal and state privacy regulations.
  • Organize and maintain an electronic filing system that supports audit readiness and regulatory compliance.
  • Assist with administrative audits, data‑quality projects, and spreadsheet‑based reporting to drive continuous improvement.
  • Handle inbound and outbound phone calls, emails, and mailed correspondence, providing courteous and professional service to residents, prospects, and partners.
  • Demonstrate punctuality and reliability by consistently meeting attendance expectations and deadlines.

Essential Qualifications

  • Proven experience in a customer‑service or office‑assistant role, with a track record of handling inbound calls and email inquiries.
  • Demonstrated ability to schedule appointments, manage calendars, and coordinate multiple stakeholders simultaneously.
  • Strong written and verbal communication skills in English, including the ability to compose clear, concise, and error‑free documents.
  • Solid proficiency with arenaflex’s core software suite, including:
    • arenaflex Windows operating system
    • arenaflex Office/Office 365 for word processing, spreadsheets, and presentations
    • arenaflex Teams for virtual collaboration
    • arenaflex SharePoint for document management
    • arenaflex property‑management platform (formerly Realpage Onesite) – preferred but not required
  • Ability to work independently, prioritize tasks, and meet deadlines without direct supervision.
  • Exceptional problem‑solving and decision‑making capabilities, especially when addressing time‑sensitive issues.
  • Excellent time‑management skills, with a demonstrated ability to juggle competing priorities while maintaining high accuracy.

  • Experience in the affordable‑housing or real‑estate sector, providing insight into leasing cycles and compliance requirements.
  • Familiarity with data‑entry best practices, including double‑checking entries for accuracy and maintaining data integrity.
  • Knowledge of federal and state housing regulations, or a willingness to quickly learn and apply them.
  • Advanced organizational skills, such as creating and maintaining complex filing systems (both electronic and physical).
  • Comfort with remote work technology, including video conferencing, cloud‑based file sharing, and virtual collaboration tools.
