Our mission is to transform raw data into actionable insights that empower every department—from finance to marketing—to achieve their goals faster and more efficiently. As part of our commitment to excellence, we are expanding our data operations team and are looking for a meticulous Data Entry Specialist who can uphold the highest standards of data integrity while contributing to a collaborative, innovative workplace.

Why This Role Matters

In today’s fast‑paced business landscape, the accuracy of corporate databases directly influences operational efficiency, regulatory compliance, and customer satisfaction. As a Data Entry Specialist at arenaflex, you will be the guardian of this critical information, ensuring that every piece of data entered is clean, consistent, and ready for analysis. Your work will support cross‑functional teams, enable reliable reporting, and help maintain the trust of our clients and partners.

Key Responsibilities

  • Data Capture & Input: Accurately enter customer, account, and transactional data from a variety of source documents—including PDFs, scanned forms, and electronic files—into arenaflex’s enterprise‑wide databases.
  • Prioritization & Organization: Assess incoming data streams, prioritize tasks based on business impact, and organize information to streamline the entry process.
  • Research & Verification: Conduct targeted research to locate missing or ambiguous information, cross‑checking against internal records and external references.
  • Quality Assurance: Perform rigorous reviews of entered data to identify deficiencies, correct errors, and ensure compliance with arenaflex’s data‑quality standards.
  • Optimization Techniques: Apply best‑practice data‑entry methods, shortcuts, and automation tools (e.g., macros, data‑validation rules) to increase throughput without sacrificing accuracy.
  • Reporting & Documentation: Generate regular status reports on data‑entry volumes, error rates, and turnaround times; securely store completed work in designated repositories.
  • Scanning & Imaging: Operate high‑speed scanners to digitize paper documents, ensuring proper file naming conventions and metadata tagging for easy retrieval.
  • Query Response: Respond promptly to internal requests for information, providing accurate data extracts and supporting documentation.
  • Compliance & Confidentiality: Uphold arenaflex’s policies on data integrity, security, and confidentiality; handle sensitive information with the utmost discretion.
  • Equipment Management: Monitor the condition of office equipment (scanners, printers, workstations), report malfunctions, and coordinate maintenance as needed.

Essential Qualifications

  • Minimum 2 years of hands‑on experience in a Data Entry Operator, Office Clerk, or similar role, preferably within a corporate environment.
  • Demonstrated proficiency with Microsoft Office Suite (Excel, Word, Outlook) and familiarity with data‑management software such as Access, SharePoint, or cloud‑based CRM platforms.
  • Exceptional typing speed (≥ 70 WPM) with a high degree of accuracy (error rate ≤ 1%).
  • Strong command of English spelling, grammar, and punctuation; ability to spot and correct typographical errors.
  • Excellent organizational skills, with a proven ability to manage multiple data streams and meet tight deadlines.
  • High level of integrity and confidentiality when handling proprietary or personal data.
  • High school diploma or equivalent; additional certifications in office administration, data management, or related fields are a plus.

Preferred Qualifications & Additional Skills

  • Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related discipline.
  • Experience with data‑validation tools, OCR (Optical Character Recognition) software, or automated data‑capture solutions.
  • Familiarity with basic database concepts (tables, fields, primary keys) and the ability to perform simple queries.
  • Exposure to industry‑specific regulations (e.g., GDPR, HIPAA) and best practices for data security.
  • Demonstrated ability to work effectively in a team‑oriented environment, contributing ideas for process improvements.
  • Strong communication skills, both written and verbal, to interact with internal stakeholders and external partners.

Core Skills & Competencies

  • Attention to Detail: Ability to detect subtle inconsistencies and maintain flawless data records.
  • Time Management: Efficiently balance high‑volume workloads while adhering to service‑level agreements.
  • Problem‑Solving: Proactively identify data gaps and devise practical solutions to resolve them.
  • Technical Aptitude: Quick learner of new software tools, platforms, and workflow automation technologies.
  • Team Collaboration: Comfortable sharing knowledge, supporting peers, and contributing to a positive team dynamic.
  • Adaptability: Thrive in a fast‑changing environment, adjusting priorities as business needs evolve.
